Cleared Recruitment is proud to be working with a major global technology provider supporting critical defence and government communication capabilities across Australia and allied nations.
We are currently seeking a skilled Baseline Information Management Specialist to join their high-performance team in Sydney (hybrid work environment). This role will initially be a 6-month fixed-term opportunity with the potential to convert to a permanent position.
About the Role
You will be responsible for rebuilding and administering document libraries, metadata frameworks, and structured repositories across Office 365 platforms-ensuring secure, compliant, and user-friendly document control systems that align with global records governance policies.
This is a hands-on position requiring strong collaboration with UK-based stakeholders and internal teams across multiple jurisdictions. You'll work at the forefront of SharePoint migration, information lifecycle governance, and user training delivery.
Key Responsibilities
Design, implement and maintain document libraries, metadata structures, and permission controls across SharePoint, OneDrive, and Teams.
Lead and execute document migration projects from legacy systems into Office 365, preserving structure and data integrity.
Support records management processes including retention schedules, legal holds, archiving, and secure disposition.
Standardise and maintain corporate document templates ensuring regulatory, branding, and accessibility compliance.
Contribute to the development of policies aligned with AIIM, ARMA, ISO 15489, and privacy frameworks (e.g., GDPR).
Support eDiscovery, audit preparation, and compliance with internal and external standards.
Deliver tailored user training, knowledge articles, and ongoing support to enhance information management maturity.
Ideal Candidate
Baseline security clearance is mandatory (must be an Australian Citizen).
5+ years' experience in information or records management, document control, or knowledge management roles.
Demonstrated expertise in Office 365 administration, particularly SharePoint, Teams, and OneDrive.
Strong knowledge of metadata frameworks, classification standards, and document lifecycle processes.
Excellent stakeholder engagement and the ability to communicate across geographically dispersed teams.
Proven experience delivering training, supporting change management, and driving end-user adoption.
